Transforming Safeguarding and Inter-Agency Collaboration with CPOMS Engage

Transforming Safeguarding with CPOMS Engage
“Safeguarding is our bread and butter. Engage has given us a bridge to offsite providers so we can protect vulnerable young people in real time, wherever they are.”

The Challenge

Intense and Constant Safeguarding Responsibilities

The Limes College is an Alternative Provision offering education for children from Reception through Year 11 in Sutton, Surrey. Working with up to 300 of the most vulnerable students in Sutton throughout the school year, The Limes College places safeguarding at the heart of everything they do.

On average, the school was processing 100-150 safeguarding concerns per day, each often requiring multiple actions. With such high volume, accurate, timely, and efficient information sharing was critical.

Inefficient Communication and Data Management

The Limes College relied heavily on email to share safeguarding information with offsite providers. This created serious obstacles in efficiency and accountability. Safeguarding data was scattered across multiple emails, making it difficult to quickly access information and accurately update reports.

How CPOMS Engage Helped

Real-Time Updates

Safeguarding information from offsite providers now feeds directly into CPOMS, giving staff instant visibility and enabling faster interventions. This allows everyone to contribute directly, rather than relying on email to relay time-sensitive information.

Built-In Data Compliance and Security

Student data security and sensitivity considerations are built into CPOMS Engage. With Share Contracts, The Limes College can define who sees what data, for how long, and for what purpose, ensuring GDPR compliance and accountability.

Increased Visibility for Dual-Registered Students

CPOMS Engage provides the clarity and oversight that was lacking with an email-reliant system. With a single source of truth, staff are better able to track safeguarding concerns for pupils that attend more than one provision.

Results

Since adopting CPOMS Engage, the Limes College has seen clear improvements in how it manages safeguarding and inter-agency collaboration:

  • Safeguarding records are now shared instantly across settings, reducing reliance on slow, fragmented email trails and increasing efficiency.
  • Staff can act immediately on new concerns, improving outcomes.
  • Share Contracts ensure accountability over who has access to information and why.
  • Offsite providers contribute to the same safeguarding record as on-site staff, creating one complete picture for each student.
  • Designated Safeguarding Leads (DSLs) can reference a single source of truth to manage high volumes of daily concerns.
  • The Limes College is an Alternative Provision for children from Reception through Year 11
  • Serves up to 300 of the most vulnerable students in Sutton each school year
  • Supported by a staff of approximately 80
  • Long, Confusing Email Trails
  • No Single Point of Truth

  • Limited Accountability
  • Real-time Updates

“Without Engage, we’d still be stuck in endless email trails. With it, we can act in real time to protect young people more effectively.”
